What is Oleeo?
Oleeo is a system that is used at QMUL for processing of:
- Standard recruitment requests
- Temporary Part-year contracts
- Named Researchers
- Employment Variations to contracts for staff (which includes extensions of fixed term contracts, additional responsibility/acting up allowances, promotions, transfers, regrading, additional contracts etc).
- Flexible Working requests
- Teaching Associates/Teaching Fellows, Demonstrators and other bulk engagements
- Approvals for onboarding Agency Staff

How will it affect me and my team?
If you are involved at any part of the recruitment process (e.g. helping to fill roles in your team, or approving new hires) you should find the process much more intuitive and efficient. All users of the system will benefit from accessing the same information which is updated in one place, creating a single source of truth for each candidate.
Candidates applying for roles should also find the process smoother and speedier – and the University will be able to attract talent more easily.
The improved data analysis and reporting function of the tool will mean that we can implement and monitor fairness and diversity in our hiring practices.
Upcoming System Update (November 2025)
Oleeo have recently enhanced the user interface which will be released in late November. Notable enhancements are as follows:
- Search Improvements - The search bar will move to the left-hand menu which will include an enhanced search functionality.
- Account Settings - An upgrade to the user account/profile settings which include accessibility and pinned menu settings.
- Colour Theme - A revised colour theme.
