Flexible Working

Any Queen Mary employee can apply to work flexibly by requesting a change to their contract. There is no automatic right to work flexibly but we do have a duty as an employer to deal with any requests in a 'reasonable' manner.

There may be sound practical and business reasons why the University is unable to accommodate the work pattern you have in mind. However, our Flexible Working Policy aims to ensure that:

  • any application you make is given serious consideration;
  • if your application is refused, you will be given the reason why and a right of appeal.

As per policy, you can request a maximum of two Flexible Working Requests within a rolling twelve-month period. So please choose one of the two options below as appropriate. If you have already submitted a flexible working request within the past twelve months via either or both of these forms and are unable to proceed with your application, then please contact the relevant HR Operations Team.

Please note that you should not be using this route to request minor changes to your working day such as changes to your start/end times, or any other similar timetabling updates, without any fundamental changes to your contractual daily/weekly working hours/patterns. These can be agreed locally and informally between you and your manager.

Due to an ongoing issue with Oleeo, once you have submitted your request through the platform, please follow up with an email directly to your line manager so they are notified of your request. Thank you for your patience whilst we resolve this matter.

Annual Leave Entitlement for Employees on Compressed Hours or Part-Time Contracts

The standard entitlement of 30 days of annual leave applies to full-time employees working a conventional five-day week. Employees working on compressed hours or part-time schedules will receive annual leave on a pro-rated basis. The calculation will take into account both the number of hours worked and the individual's working pattern.

For example, an employee working a compressed schedule of four days per week, totaling 35 hours, would be entitled to 24 days of annual leave on a pro-rated basis (not including bank and closure days). An employee working 3 days a week 7 hours per day will be entitled to 18 days of annual leave (excluding bank holidays and closure days).

For guidance on how to raise a flexible working request, see guide on the Employment Variation Guides page.

If you are unable to access Oleeo or the digital form, please contact your relevant HR Operations Team.
