Privacy notice
This notice sets out additions to the Queen Mary University of London privacy notice as they apply to the Careers Service. It should be read in conjunction with the Queen Mary University of London privacy notice and alongside the Queen Mary Data Protection Policy. The content of this notice applies to:
- Current students.
- Graduates up to three years after graduation date.
Basis for collecting and processing data
The legal basis for us to collect and process your data is that it enables us to provide services that best meet the needs of Queen Mary students and graduates. The data collected feeds into service statistics and tracking mechanisms that inform service development.
We may collect additional data from you:
- For the purpose of providing services and activities such as internships or practice interviews. These services are entered into on a voluntary basis.
- Special category data (disability, ethnicity) is used to target or reserve services for and to specific groups. You can opt out of sharing this information with the Careers Service at enrolment.
- If you provide us with a case study, testimonial or quote on your experience with the Careers Service, this is anonymised when shared externally or made publicly available. We will gain consent from you first if we wish to use your name or photo with this content.
- If you attend an event or activity delivered by the Careers Service you are giving permission for your image to be used in photography or video content recorded. Please speak to the event or activity organiser if you wish to remove your consent to this.
Sharing data
We share data with third parties where required to meet University obligations or to facilitate the delivery of services and platforms. We share only the minimum data necessary for these functions to be performed.
Queen Mary shares data with Higher Education Statistics Agency (HESA) for the purposes of conducting the Graduate Outcomes Survey. This takes place around 15 months after your graduation.
We share your data with employers when you apply for an internship or employability programme hosted by them.
All data processing by third parties complies with UK General Data Protection Regulation (GDPR). The employability platforms we share data with are those that we have a contracted service with:
- TargetConnect/GTI Group.
- CareerSet.
- GraduatesFirst.
- Shortlister.
Data retention
Data held by the Careers Service is retained in accordance with the Queen Mary records retention schedule.
Data relating to graduate use of the service is held for the time when services are offered – three years from your course end date. When you are no longer eligible to use Careers services your data is anonymised.
