Creating content for digital display screens

Digital signage is used to promote University activities, and cannot be used for external commercial purposes. 

Content should be clear concise.  Space on digital displays is limited, so include the most essential information e.g. 

  • Name 
  • Description 
  • Date 
  • Time 
  • Location 
  • Call to action 
  • QR code and URL (Note: avoid using QR codes as the sole means of access) 

Tip: Keep in mind that people will often be walking past or viewing screens from a distance. Make sure your message is easy to read and understand quickly. 

Templates and technical specifications 

A range of digital templates are available to download and customise. 

All content (images, slides and videos) should be sent to the Content and Brand team at content@qmul.ac.uk for review.  Content which does not meet Queen Mary brand guidelines will not be approved for display.

Supported formats (Xibo system):  

  • Images: landscape .png or .jpeg, 1920 x1080px  
  • PowerPoint slides: widescreen (16:9) format  
  • Videos: max size 128M; formats: wmv, avi, mpg, mpeg, webm, mp4, m4v. Captions recommended as no audio on screens.  

Accessibility

We are committed to ensuring that all content is accessible and functional for everybody. Use our tools and resources to ensure that the content you create is accessible to all.

Display time 

Display will only be shown for approx. 10 seconds each in the rotation of different content, therefore, your content should be designed for comprehension within this timeframe. 

Videos should ideally be no longer than 30 seconds for optimal impact.  

Audio 

Audio is not included on any of the Digital Signage screens. Captions are recommended where necessary. 

What to avoid

Please note that our digital signage platforms are visible to the public and campus visitors. Please avoid:

  • Commercial advertising 
  • Copyrighted materials without proper permissions 
  • Clipart (use of clipart is strongly discouraged)
  • Personal information without consent
